Audubon Day 2023 Vendor Agreement

Summary

  • Audubon Day is an annual event for the residents of our community to celebrate life in our town. Our local community organizations all participate in this fun day, which combines family activities with a vendor marketplace, beer garden, and food!  We usually welcome 1000-1500 visitors throughout the day. 

  • April 29th, 2023. Our daytime hours are 10-3pm, during which we are very focussed on family-friendly activities. We pause for a few hours, and then resume at 6pm with Audubon After Dark. In the evening we have a live band, beer garden and food.  

  • There are indoor and outdoor spaces available. Outdoor vendors can request to remain in place for the evening session (space is more limited, first come, first serve).

  • Discounted rates are available for Audubon residents. Community organizations can apply to participate free of charge.

  • All Vendor Applications are subject to approval and acceptance by the Audubon Celebration Committee. You will be notified within 3 business days if your application has been accepted. In the event we are not able to accept your application, a full refund will be issued at the time of notification.

  • In the event of inclement weather, our rain date is Sunday April 30th 2023. The times for the rain date would be 1pm - 7pm.

Indoor Spaces

  1. Indoor vendor space is approximately 8 feet wide by 6 feet deep.

  2. One table will be provided 6 feet X 3 feet. 

  3. There is limited space to hold extra stock, so please speak to us before registering if this is a concern.

  4. Stalls must be staffed at all times, and be open to the public from 10am to 3pm. Vendors may not shut down early under any circumstances.

  5. Vendors may load in between 8am-9am. No vehicles will be permitted in the rec center parking lot after 9am. Break-down and load out is from 3pm-5pm.

  6. No refunds are available for vendor fees. In the event of inclement weather, our rain date is Sunday April 30th, 1pm to 7pm.  In the highly unlikely circumstance of complete cancellation of this event by the Audubon Celebration Committee, full refunds will be made within 7 days.

Outdoor Spaces

  1. Outdoor space is approximately 10 feet wide by 10 feet deep.

  2. Vendors are responsible for their own tables, chairs and tents. If you choose to use a tent, you MUST have appropriate tent weights for safety.

  3. Stalls must be staffed at all times, and be open to the public from 10am to 3pm. Vendors may not shut down early under any circumstances.

  4. Vendors may load in between 8am-9am. No vehicles will be permitted in the rec center parking lot after 9am. Break-down and load out is from 3pm-5pm.

  5. Outdoor vendors can request to stay for the evening event. You will need to provide your own lighting source. This is first come, first serve and will only suit some vendors. Please use the add-on when registering.

Food Vendors

  1. Food vendor permits include both the daytime (10-3) and evening (6-10) events. You must indicate at the time of registering whether you will be vending at both sessions. Applications from vendors who are doing both sessions will be prioritized. If you are only doing one session, your pitch will be sold to another vendor for the session you are not attending. You will need to provide your own lighting source. 

  2. Outdoor space is approximately 10 feet wide by 10 feet deep.

  4. Food vendors must have an appropriate business license. We will provide a food sales permit for our event, and hand-washing stations.

  6. Vendors may load in between 8am-9am. No vehicles will be permitted in the rec center parking lot after 9am. Break-down and load out is from 3pm-5pm.

  7. Food vendors who have not participated in Audubon Day previously will be asked to make a $150 deposit, fully refundable on arrival on April 29th. We have been disappointed by vendor no-shows in the past, and as food is a critical component of our  event, we have had to introduce this policy to ensure we have enough food vendors available for our attendees.

Hold Harmless and Liability

By registering for this Event, Vendor agrees to hold harmless the Borough of Audubon, Audubon Celebration Committee, all organizers, chairpersons and volunteers of Audubon Day against any breakage, damage to goods, the weather, acts of God, illness, accident, fire, theft, or any other claim, real or imagined, which may result from participation in Audubon Day. Vendor further agrees to accept total liability for, and to hold the Borough Of Audubon and the Audubon Celebration Committee harmless from any action of Vendor, Vendors agents or assigns, or Vendors employees whilVendor shall indemnify, defend, and hold harmless he Borough of Audubon, Audubon Celebration Committee, and Audubon Civic Reach against any liability, damage, loss, or expense (including reasonable attorneys fees and expenses of litigation) incurred by or imposed upon any of the aforementioned parties in connection with any third party claims, suits, actions, demands or judgments (“Claims”) under any theory of liability (including without limitation actions in the form of tort, warranty, or strict liability) resulting from or arising out of the Vendor’s participation in this Event.
