where and when?

  • Audubon Day 2024 will take place on Saturday April 27th.

  • The venue is the Francis J Ward Community & Recreation Center at 602 Hampshire Ave, Audubon NJ 08106, and at Audubon Family Park which is adjacent to the Rec Center.

  • The daytime event is open to the public from 10am to 3pm.

  • Then the lucky ones go home for a nap.

  • We come back for the evening event from 6pm to 10pm.

When can participants load in and set up?

  • Load-in is between 7am and 9am for all participants.

  • Everyone should be completely set up and ready to meet the public at 10am.

  • Vendors and participants who arrive after 9am will have to park at a remote location and carry supplies in.

  • Vendors who are not ready for the public at 10am will not be invited to participate at future Audubon events.

  • The morning is always going to be chaotic and we greatly appreciate our participants cooperating with us and adhering to these times.

What is the procedure FOR unloading?

  • Between 7am and 9am, vendors can pull up next to the Rec Center on the Washington Terrace side

  • Park against the curb and unload as quickly as possible onto the sidewalk or grass.

  • Please do not begin to set up, including tents or canopies, until after you have parked your vehicle and returned.

  • If you require assistance to unload, we will have some volunteers available to help you.

where do i park?

There is plenty of unmetered parking on the streets around the Recreation Center. The police will keep everyone off of the streets immediately bordering the Rec Center and Family Park, so please avoid parking on Hampshire Ave, Washington Terrace and Oak Street immediately next to the venues.

How Big Is My SPace?

Indoor Vendor Spaces

  • Space is approximately 8 feet wide by 6 feet deep.

  • One table will be provided 6 feet X 3 feet. You CANNOT bring your own table.

  • There is limited space to hold extra stock, so please speak to us before registering if this is a concern.

Outdoor Vendor Spaces

  • Approximately 10 feet wide by 10 feet deep.

  • Vendors are responsible for their own tables, chairs and tents. If you choose to use a tent, you MUST have appropriate tent weights for safety.

HOW DO I FIND MY SPACE?

Spaces are numbered and there will be a list posted at the Rec Center entrance, or speak to a volunteer to find out where you belong.

Is there electricity? Can I USE a GENERATOR?

There is limited access to electricity for Indoor Spaces. You must make arrangements in advance if you require access - no guarantees!

Outdoor Spaces can use a generator, but you must arrange this in advance with the ACC staff, and the only two generator models that we can approve for use are Honda 1000 or Honda 2000. No other generators may be used.

Do I need a sales tax certificate, business license, etc?

All vendors are expected to comply with state taxation, licensing and permit regulations. There may be state representatives present at the event. Anyone selling food needs specific licenses and insurance to do so.

DO i need insurance?

Property Insurance

By registering for this Event, Vendor agrees to hold harmless the Borough of Audubon, Audubon Celebration Committee, Audubon Civic REACH, all organizers, chairpersons and volunteers of Audubon Day against any breakage, damage to goods, the weather, acts of God, illness, accident, fire, theft, or any other claim, real or imagined, which may result from participation in Audubon Day. Vendor further agrees to accept total liability for, and to hold the Borough Of Audubon, the Audubon Celebration Committee and Audubon Civic REACH harmless from any action of Vendor, Vendors agents or assigns, or Vendors employees while participating in Audubon Day.

Liability Insurance

Vendors and participants are responsible for obtaining appropriate liability insurance coverage for this Event. Vendor shall indemnify, defend, and hold harmless the Borough of Audubon, Audubon Celebration Committee, and Audubon Civic Reach against any liability, damage, loss, or expense (including reasonable attorneys fees and expenses of litigation) incurred by or imposed upon any of the aforementioned parties in connection with any third party claims, suits, actions, demands or judgments (“Claims”) under any theory of liability (including without limitation actions in the form of tort, warranty, or strict liability) resulting from or arising out of the Vendor’s participation in this Event.

Is there a RAIN DATE?

The rain date is Sunday April 28th from 1pm to 7pm. Rather than having two sessions, the day will be compressed into one six hour session.

How will I know if the event is cancelled and the rain date is going into effect?

Vendors will be notified by email on Friday shortly after 6:00pm if the event is moved to Sunday. If the event is moved to Sunday and inclement weather is forecasted, vendors will be notified by email on Saturday, April 27 shortly after 6:00pm if the event is cancelled.

In addition, an announcement will be posted on the celebrate08106.org and auduboncivicreach.org websites, and the Audubon Borough and the Audubon Celebration Committee’s Facebook pages.

In the event that the Friday 6:00pm forecast for Sunday is not an improvement over the original event date (meaning both days’ forecasts are equally poor), Audubon Day will move forward as planned on Saturday. The existence of a rain date is not a guarantee of an available dry day.

We reserve the right to implement the rain date under other unforeseen weather circumstances not described above (ex: high wind, lightening, etc.)

We will not be held responsible for inaccurate or changing forecasts after Friday at 6:00pm. If the precipitation thresholds have not been met at 6:00pm the event will move forward as planned regardless of subsequent forecasts.

Can I set up an unmanned display for advertisement?

No. Each space must be attended by its owner or a representative at all times that the event is open to the public.

Can I leave early or arrive late?

No. Each space must be attended by its owner or a representative at all times that the event is open to the public. Participants who chose to ignore this will not be invited to future events in Audubon.

Refunds, Cancellations and Expulsions:
I have registered but changed my mind. Can I have a refund?

Refunds will be considered until two weeks prior to the event. After that, all sales are final.

The Audubon Day Committee reserves the right to decline any registration at any time, or to refund a vendor’s money and cancel their registration at any time for any reason prior to the event.

Expulsions are extremely rare and would only occur if a vendor behaves inappropriately toward staff, a fellow vendor, or any other participant in the day’s events. An expulsion will result in exclusion from all future Audubon Days.
